Library Manager is a Solution for Libraries that helps to keep track of complete library operations from book purchase, book registration, member registration, book movements, fine payments, book write-offs and various reports.
Library manager Application provides a systematic method of managing the whole library through a simple and interactive interface. Using the simple and convenient library manager application, the librarian can easily manage library functions like storing Book Details, Periodical details, Member Details, Book Labelling, Book Movement, Fine Payment, Book Write-offs, Book and Member searches and Reports. Hence it enables librarians to easily manage and disseminate library functions like cataloguing, book/periodical purchases and acquisition, circulation and book serial control by labelling efficiently.
Library Manager keeps a track on all the books that are issued, returned and added to the library, fine issued due to late return of the books, and Serial tracking of Periodicals like magazines and newspapers that are subscribed on daily, weekly or monthly basis. Overall having the library Manager application is important for an efficient, user-friendly, fast and secure library management - be it a small size college library having limited users and books or a large size public library.
The Library Manager Application can be installed in the same way as any other standard windows application. Download, Install and Register the Library Manager Application from our website www.erachana.net. Installation & Registration are explained in Detail in other videos.
After registration, create a New File and enter Masters Details.
Masters are used for storing various master details. To use this application for Library Management, first, Masters like College, Book Master, and Periodical Master should be updated. Library Members are Lecturers and Students. Hence, in Members, add details of Lecturers and Students.
Enter the details of your College in College menu .
To do this, click College menu and enter details of your College - College Name, Address, Place, District , State, Pincode, Email,Telephone and Website. Insert your College Logo by clicking Browse and selecting the logo. Click Save to save the details.
Enter Details of different Books in the library in Book Master.
To add books, click Library menu select Book Master.
In the window that opens, enter Book Name .
Add Author - If the book author is not added, Click the triple dotted button to add Author Name in the window that opens.
Then, select the Author Name in Author Name 1 and Author Name 2 if the book has more than one authors.
Add Publisher - If the Publisher is not added, Click the triple dotted button to add Publisher Name in the window that opens.
Then, select the book Publisher Name from the dropdown.
Add Category - If the Category is not added, Click the triple dotted button to add Category Name in the window that opens.
Then, select the book Category from the dropdown.
Add Sub Category - If the Sub Category is not added, Click the triple dotted button to add Sub Category Name in the window that opens.
Then, select the book Sub Category from the dropdown.
Add Medium - If the Medium is not added, Click the triple dotted button to add Medium Name in the window that opens.
Then, select Medium from the dropdown.
Click Save to save the book details.
Periodical Master contains details of the Periodicals circulated in the Library.
To add Periodicals, select Periodicals Master in Periodicals Menu.
In the window that opens, enter the Period like Monthly, Weekly or Fortnightly in Period, or select it if it already exists. Then, enter the name of the Periodical in Periodicals.
Click Save to save the details.
Library can have members like Lecturers or Students. The respective Member details can be added in Members menu by selecting Lecturer or Student.
To add a member lecturer, click Lecturer in Members menu. In the window that opens, enter Register No, Member Name and Current and Permanent Addresses. Select Gender . Enter other details like Phone No, Email Id and Join Date. Add Member's Photo by clicking Browse. Select Department and Subject. Click Save to save the details.
Note : You can add the department or subject by clicking the tripled dotted button as explained earlier.
To add a member Student, click Student in Members menu. In the window that opens, enter Register No, Member Name and Current and PermanentAddresses. Select Batch and Gender. Enter other details like Phone No , Email Id and Join Date. If the employee has left the organisation, you can enter Left Date. Click Save to save the details.
In the Library, there are various books and periodicals available for lending or reading. First, the details of the books and periodicals in the the library should be recorded in Book Master or Periodical Master as explained when creating a Masters. There may be multiple copies of some books in the library. Each book copy is uniquely identified by the Book Label. The details of each book copy should be recorded along with the book label and condition of the current book copy in Book Details. The location of the shelf where a book is placed is recorded in Book Placing. When books need to be purchased, the details of purchases are recorded in Purchase Books. When the subscribed Periodicals are added to the library, the details are recorded in Periodical Details. When damaged or lost books are written off, these details can be recorded in Book Write Off or Bulk Book Write Off.
The details of each book copy available in the library is entered in Book Details.
To enter book details, click Book Details in Library Menu.
In the window that opens, enter Book Label, Select Book Name, Condition andEdition. Enter Purchase Date, Reference No., Publication Year, Cost Price and Purchase Price . Click Save to Save the Book Details.
The details of each periodical copy available in the library is entered in Periodical Details.
To add periodical details, click Periodical Details in Periodicals Menu.
In the window that opens, enter Date when the Periodical is added to the library in Date. Select the Period , Periodical Name and click Save to save the Periodical Details.
When books need to be purchased, the details of purchases are recorded in Purchase Books.
To enter Book Purchase details, click Purchase Books in Library menu.
In the window that opens, enter Purchase Date, Reference no., Select Book Name, Condition (new or used) and Edition. Enter Publication Year, No. of copies and Cost Amount and click Save to save the Book Purchase Details.
The location of the shelf where a book is placed is recorded in Book Placing.
To enter Book Placing details, in Library, select Book Placing.
In the window that opens. Select Shelf Name, Book Name and Book Label. Click Save to save the Book Placing details.
When damaged or lost books are written off, the details are recorded in Book Write Off.
To Write-Off Books, click Book Write-Off in Library menu.
In the window that opens, enter Write-Off Date, Select Book Name and Book Label. Enter Write-Off Reason and Remarks and click Save.
When books are to be written off in bulk, the details can be entered in Bulk Book Write-Off.
To write off books in bulk, click Bulk Book Write-Off in Library.
In the window that opens, enter search criteria like Book Label, Shelf Name, Edition, Condition, Publication Year, Reference No., Purchase Date or any other criteria and click List to list the books to be written off. Then, click Write-off.
In the window that opens, in Chk column in the grid, check the books that should be written off and click Save.
The selected books will be written off.
In the library, Books may be lent to Members and Members return the books after reading. If there is any delay in books return or loss of Books, a fine should be paid. Book Movements like recording Issue of Books to Members of Book Return Receipts are done in Issue Receipt menu.
Book Issue details are entered in Issue Books.
To enter book Issue details, in Issue Receipt menu, select Issue Books.
In the window that opens, enter Issue Date. Select Member Name or click S to search the member. Next, enter Book details, select the Book Name, or click S to search the book. Click Save to save the book issue details.
The details of books returned by members is entered in Book Receipts.
To enter Book Receipts, click Book Receipt in Issue Receipt menu.
In the window that opens, select Member or click S to search the member. Click List. The member details will be updated in issue details. Select the book that is returned from the grid and click Return check box. Enter the Return Date. Click Save to Save Book Return details.
The details of any fines paid for non-return, delay in return of books or damages to books is entered in Fine in Issue Receipt menu.
In the window that opens, to enter Fine details, select Member Name, enter Fine Date and Fine Amount. Click Save to save the details of the Fine paid.
Search and Reports is a very handy feature in Library Manager application. Here you can find quick search options to find Books/Periodicals details, Book Movements, Issues and Receipts etc.
Book Details Search
In Book Details Search, you can search for specific books or copies of books based on various criteria.
To Search Book Detail, select Book Details Search in Search and Report menu. In the window that opens, select search criteria like Book Name, Book Label, Shelf Name, Edition, Condition, Publication Year, Purchase Date or any other criteria and click List.
In the same way, you can carry out Book Movement Search, Book Issue Receipt Search, Pending Books Search, Write Off Search, Fine Details Search and Periodicals Search by providing the necessary search criteria.
Note: All the above search results can be exported to an editable excel file by clicking Export button in the respective search window.
